Residapp — Residence management

Before Residapp, residence management ran on fragmented manual processes: Excel spreadsheets for units and fees, phone calls and letters for resident communication, paper registers for incidents and access control. For a property manager running several residences, every routine operation — handling a complaint, chasing an unpaid fee, scheduling an intervention — consumed a disproportionate amount of time and left little usable trace.

The consequences were concrete and measurable:

• Complaints lost or handled late, with no central channel and no status tracking;
• Degraded fee collection rates, as manual reminders were irregular and hard to trace;
• No consolidated visibility for multi-residence managers: impossible to compare sites, anticipate charges or justify expenses to co-owners;
• Improvised access control (paper lists, untracked badges) on sites hosting residents, visitors and contractors.

The client needed a centralized solution able to manage several residences in parallel, automate recurring administrative tasks and restore smooth, traceable communication with residents — without imposing heavy change management on field teams with limited digital habits.

We designed a complete digital ecosystem built around three applications sharing a single API and database: a web management portal for property managers, a mobile app for residents and a mobile app for field teams.

The management portal (Angular + Node.js)

The back office centralizes the property manager's entire business: the repository of residences, buildings and units; owner and tenant management; fee and arrears tracking with reminders; intervention and contractor scheduling; consolidated multi-residence dashboards. Fine-grained role management lets each scope (accounting, technical, resident relations) be delegated without exposing the rest of the data.

The resident app (Flutter)

From their smartphone, residents report an incident with a photo, follow the progress of their complaint in real time, book shared facilities, view their fee notices and pay in-app. Push notifications replace the paper noticeboard in the lobby: every announcement instantly reaches every household concerned.

The field app (Flutter)

Guards and field agents control access by QR code (residents, visitors, contractors), receive the interventions assigned to them and close tickets directly on site. Every passage and intervention is time-stamped, making reporting reliable without extra data entry.

Technical choices

• Angular for a rich, structured back office that stays maintainable over time;
• Node.js/Express + MySQL for a single REST API serving all three clients, with multi-portal role management;
• Flutter to ship both iOS and Android mobile apps from one codebase, with real-time sync and push notifications.

Deployment proceeded residence by residence, with data migration and team training — a progressive ramp-up that secured adoption.

Residapp is now deployed across more than 15 residences and 2,000 units, used daily by property managers, residents and field teams.

• Collection rate up 25%, thanks to digital fee notices, in-app payment and automatic reminders;

Beyond the numbers, the platform changed the relationship between managers and residents: communication went from a stream of endured complaints to a structured, transparent, calmer channel. The multi-portal architecture designed for Residapp now serves as the foundation for onboarding new sites without additional development.
