Doctifile — Virtual waiting room

A digital platform that eliminates physical waiting rooms in medical practices.

The challenge

In most medical practices, the waiting room remains the weak link of the care journey. Patients arrive early "to take their turn", sometimes wait for hours in a crowded room, and have no visibility on how consultations are actually progressing. On the practice side, the receptionist juggles walk-ins, a ringing phone and an appointment book that never reflects reality: interleaved emergencies, delays, no-shows.

The problems to solve were clearly identified:

  • Endured, opaque waiting time for patients, with no reliable estimate and no notification;
  • No flow management tool for the doctor: impossible to absorb an emergency without disrupting the whole day;
  • Saturated waiting rooms, a source of discomfort and tension — and a health concern in its own right;
  • Administrative load weighing on the front desk at the expense of patient care.

The solution had to be simple on both sides: patients join a queue from their phone in seconds, and the practice keeps control of the passage order without changing how it works.

The solution

We built Doctifile as two complementary applications connected to the same real-time API.

The practitioner web app (Angular + Node.js)

The practice gets a queue management dashboard: a real-time view of waiting patients, one-click "call next patient", emergency insertion without breaking the overall order, and statistics on attendance and consultation times. Automatic queue management applies the rules defined by the practice (priorities, fixed appointments vs continuous queue) and frees the front desk from constant arbitration.

The patient mobile app (Flutter)

Patients join their doctor's queue from their smartphone, watch their position update in real time and receive a push notification when their turn approaches — so they can wait wherever they want: at home, at work, in the car. On consultation day, there is no need to arrive two hours early: the app acts as a virtual ticket.

The real-time architecture

  • Instant synchronization between the practice dashboard and patients' phones: each patient call updates every position in the queue;
  • Push notifications via Firebase, triggered by configurable position thresholds;
  • Node.js + Angular on the practice side for a responsive tool usable on any workstation with no installation.

Particular attention went to the constraints of the medical field: absolute simplicity on the patient side (no technical skill required), health data confidentiality, and system robustness at peak hours.

The results

Doctifile transformed the waiting experience without disrupting the organization of the practices that adopted it.

  • Perceived waiting time cut by 80%: patients now wait wherever they choose, informed of their position in real time;
  • Sharply higher patient satisfaction, measured within the first weeks of use;
  • Optimized consultation time for doctors: smoothed flows reduce both idle gaps and pile-ups;
  • Front desk refocused on patient care rather than queue management.

The project illustrates our conviction: digital health succeeds when it simplifies life on both sides of the counter. Doctifile asks neither the patient nor the practitioner to change their habits — it simply removes the friction that penalized them both.
